To ensure membership fees are paid on time Name, contact information, payment information It is in our organisations interests to ensure membership and meeting fees are paid on time and is part of your contract with us.
To administer the members hub, manage your attendance at meetings and manage your published member profile. Your name, photo, contact information, business information and any socials links you chose to share. For meetings only – any special dietary requirements for attending the meeting (lunch or breakfast meetings are catered by the venue). It is in our organisations interests to make sure you are supported to attend your meetings and to run them efficiently. Your member profile is searchable by other members and visitors (for a limited time only) to the business rooms/connections clubs as part of our contract with you. We provide your dietary requirements (which may include or infer special categories of personal data about you) with your express consent only.
To keep you informed about forthcoming meetings, added value sessions and training opportunities. Your name and contact information. It’s in our organisations interests to grow our groups by gathering feedback, booking relevant speakers/trainers etc ensuring you get the best from your membership.
To send you members newsletter and  occasional marketing information by email about Your Business Matters. Your name and contact information. It is in our organisations interests to grow our groups membership and provide you with further information about how you can get involved, even if it’s a few weeks or months after you first attended.  We will always provide a clear route for you to opt out of future marketing messages.

Who do we share your information with?

We only share your information where it is necessary to support you as a member of one of our business room/connections club meetings.

Organisations we share with include:

  • The venue for your meetings (to ensure your dietary requirements are met).
  • Our software suppliers who provide access to the members hub and provide us with software to manage our business room/connections club meetings and membership.
  • Our payment and accounting software providers to enable us to manage payments for meetings and memberships.

All of our suppliers are managed under strict contractual terms to keep your data safe and secure and only use it on our instructions.

We never sell your data and we won’t share it for any other purpose without your consent, or a requirement in law for us to do so.

Socials and connecting online

If you chose to communicate with us via social media (Facebook/WhatsApp, Twitter/X) please be aware that your data will also be held and used by the social media provider.  You should ensure you read their privacy notices carefully and agree to their terms and conditions before you contact me in this way.  I will not ask you for sensitive information this way.

If you agree to deliver an added value session, with your consent, we will promote this for you on our social media pages.

Where do we store your data?

Information that we collect from you is sometimes transferred and stored outside of the European Union for the purpose of supplying our goods or services to you.  All of our contractors are bound by appropriate contractual terms to ensure the safety and security of your data.

Where we have given you (or where you have chosen) a password so that you can access certain parts of our site, you are responsible for keeping this password confidential.

How long do we keep your data?

If you decide to join Your Business Matters as a paid member of either a business room or connections club meeting we will hold your data as part of the members hub and for administration purposes until you terminate your membership with us, as per the terms of your contract with us..

We may hold your contact information and your name for 6 months after cancel your membership to allow us to easily manage any request to re-join if you change your mind later.

We may also send you marketing communications in this time to promote our business and encourage you to re-join by sharing meeting information, member benefits and information about other services we offer from time to time.  We will always provide an opt out link in each marketing email.

Your rights and complaints

You have a number of rights over the use of your personal information.  You can find out about that here: For the public | ICO.  If you want to speak to us about your rights, how you exercise them, or have any complaint about how we use your personal information you can contact us using the details at the top of this notice.

You have the right to complain to the Information Commissioner if you are unhappy with the way we use your data, but they will expect you to try to resolve any issue with us first.

To follow up after you have attended your first meeting to see if you would like to become a member. Your name and contact information. It’s in our organisations interests to grow our groups by gathering feedback and adding to our membership.
To send you occasional marketing information by email about Your Business Matters. Your name and contact information. It is in our organisations interests to grow our groups membership and provide you with further information about how you can get involved, even if it’s a few weeks or months after you first attended.  We will always provide a clear route for you to opt out of future marketing messages.
